Workflows

Automation that waits for what the lead does

A Wait for Event step holds the run until a reply, an open, a completed call, a form or a booked meeting, with a timeout. Conditions branch on any field, including custom fields, and an A/B Test step splits traffic.

  • A Send Window holds every step until working hours in the chosen time zone
  • Steps include Create Project, Send Survey, AI Summarize and Add to Sequence

A forecast built from each deal's confidence

Every deal carries a confidence, starting at 50. The Forecast tab in Reports sorts deals into commit at 80 and above, best case from 50 to 79, and pipeline, then shows the weighted number against target.

Safe changes

Test it before it touches a lead

Test run previews every step on a sample or real lead and sends nothing. Each activation saves a version you can restore, and active runs finish on the version they started with.

  • Run Log shows each lead's current step
  • Analytics shows success rate and the steps where runs stall
  • A run stops after 200 steps, which protects against loops
  • Failed steps retry 3 times before the run is marked failed
FAQ

Questions about Pipeline and automation

Which plans include the pipeline and workflows?

The pipeline board and smart views are on every plan. Several pipelines and workflows are on Essentials, Growth and Scale. Solo has one pipeline.

Can I set a probability per stage?

No. Confidence belongs to each deal, starting at 50, and you change it as the deal moves. The forecast uses it.

Can I move a deal to another pipeline?

Not yet. Create the deal in the right pipeline from the start, or create a new one there and close the old one as lost.

Can I reopen a lost deal?

Not from the board. Create a new opportunity on the same lead; the lost one stays as history.

Will a new workflow act on leads that already match?

No. Only new events from the moment you activate start runs. Use a Manual trigger to start runs yourself.

Can a workflow wait for a manager's approval?

Not yet. There is no approval step, so a run cannot pause for a sign-off.

Do workflow emails go out from my Gmail or Outlook?

No. They go from the app's own sending service, with unsubscribe handling built in.

Can I edit a workflow while it runs?

Deactivate it, change it, test it and reactivate it. Active runs finish on the old version, which stays in version history.
